The Role
We are seeking a highly motivated and skilled Accounts Payable Specialist to join our growing team. The ideal candidate will be responsible for is responsible for processing vendor invoices,
managing payment workflows, maintaining accurate financial records, and
supporting month-end close. This role requires hands-on experience with
QuickBooks and bank reconciliations, strong attention to detail, and excellent
organizational skills. Experience with Bill.com and Ramp.com is a plus but not
required.
What You’ll Be Doing
- Invoice Processing — Review, code, and enter vendor invoices into QuickBooks with proper GL coding and approval routing.
- Three-Way Matching — Match invoices to purchase orders and receipts; resolve discrepancies with internal teams and vendors.
- Payment Management — Prepare weekly check runs, ACH payments, and credit card payments; maintain accurate payment records.
- Vendor Relations — Maintain vendor files, W-9s, payment terms, and respond to inquiries promptly and professionally.
- Bank Reconciliations — Perform monthly bank and credit card reconciliations in QuickBooks; research and resolve variances.
- AP Aging & Reporting — Reconcile AP aging, vendor statements, and assist with month-end accruals.
- Expense Reports — Review employee reimbursements for accuracy and policy compliance.
- Internal Controls — Ensure compliance with company policies, approval workflows, and audit requirements.
- Year-End Support — Maintain accurate vendor classifications and assist with 1099 preparation.
- Optional Systems Exposure — Assist with AP automation tools such as Bill.com and corporate card platforms like Ramp.com (experience helpful but not required).
What You’ll Need
- 2–4 years of Accounts Payable or general accounting experience.
- Hands-on experience with QuickBooks (Online or Desktop)
- Hands-on experience performing bank reconciliations
- Strong Excel skills (sorting, filtering, VLOOKUP, pivot tables
- preferred)
- High attention to detail, strong communication, ability to meet deadlines, and a proactive approach to problem-solving.
- High school diploma required; associate or bachelor’s in accounting or business preferred.

- Experience with Bill.com for AP automation
- Experience managing corporate card transactions in Ramp.com
- Experience with multi-entity or multi-location accounting.
- Understanding of basic GAAP principles.

The Role
The Quality Control Manager is responsible for ensuring all production equipment meets company standards for performance, reliability, and show readiness. This role plays a critical part in maintaining the integrity of our inventory by overseeing quality control processes, supporting repairs and RMA workflows, and verifying accuracy of outbound orders. In addition to hands-on responsibilities, this role is expected to build and develop a strong, reliable team focused on quality, ensuring that all gear is consistently prepped, tested, and delivered in the best possible condition. The ideal candidate is detail-oriented, technically knowledgeable, and proactive in identifying and resolving issues before gear leaves the warehouse.
Key Responsibilities
- Organize and manage audio, video, and production inventory.
- Clean, maintain, and ensure proper functioning of all equipment.
- Perform detailed QC checks on audio, video, camera, and general production gear before and after events.
- Test signal flow, connectivity, firmware, and operational readiness of equipment.
- Identify, document, and report damaged or missing gear.
- Prep and de-prep equipment for shows according to company standards.
- Keep the workspace clean, organized, and safe.
- Collaborate with team members to ensure smooth warehouse operations.
- Monitor overall condition and lifecycle of inventory, identifying items in need of maintenance, repair, or replacement
- Assist in reviewing and verifying orders to ensure correct gear, quantities, and configurations are pulled and prepared
- Develop and improve QC processes, checklists, and standards to increase consistency and reduce errors
- Maintain clear documentation of QC results, repairs, and inventory status
- Help train team members on proper QC procedures and equipment handling best practices
- Support inventory audits and help investigate missing or damaged equipment
Qualifications
- Basic knowledge of live audio, video, and camera equipment.
- Understanding of signal flow and common production gear connections is a plus.
- Previous experience in a warehouse or production environment preferred.
- Strong attention to detail, especially in quality control and gear inspections.
- Ability to lift and move heavy equipment safely.
- Excellent organizational, communication, and teamwork skills.
- Willingness to work flexible hours, including weekends if necessary.

Key Responsibilities:
Travel & On-Site Support:
● Lead the load-in and setup of LED panels for live events, ensuring efficient and accurate
installation.
● Troubleshoot and resolve technical issues on-site to maintain seamless event operations.
● Collaborate with clients, production teams, and other technicians to ensure the highest
quality results.
Warehouse & Inventory Management:
● Maintain and organize LED inventory in the warehouse, ensuring all panels, parts, and
equipment are in working condition.
● Perform routine maintenance, testing, and repairs on LED panels and related equipment.
● Coordinate inventory tracking to optimize usage and minimize downtime.
Technical Design & Planning:
● Create detailed drawing packets for LED panel installations, including layouts, power
schematics, and rigging diagrams.
● Design truck pack plans to maximize space and ensure efficient loading and unloading
for events.
● Stay up-to-date on the latest LED technology and recommend improvements to enhance
operations.
Requirements:
● Experience: Minimum of 4 years of hands-on experience with LED technology in live
events or a similar field.
● Technical Skills: Proficiency in CAD software (e.g., AutoCAD, Vectorworks) to create
drawing packets.
● Knowledge: Familiarity with LED panel systems, video processors, and signal flow.
● Problem-Solving: Strong troubleshooting skills to quickly identify and resolve technical
issues.
● Leadership: Ability to manage on-site teams during setup and breakdown phases.
● Organization: Detail-oriented with excellent time management skills, particularly in
high-pressure environments.
